Summary of a Trustee meeting on 23rd August 2011

This is a summary of the regular meeting of the Trustees. The full minutes are confidential. This summary is posted for your interest and information only.
In attendance: Chris & Heidi Cate, Norman Wright, Jacky Pett, Kerry Burchinshaw, Tania Fiddy NRCC. Apologies: Kevin Francis
The design plans were reviewed in conjunction with the notes taken from the Project Group meeting held during the morning attended by Chris.
- 2 or 3 quotes will be obtained to show it is a competitive quote.
- independent solicitor needed; need to check whether we can still get pro bono work. Funders will also expect to see transparency in every aspect of the project.
- Lovell must not start work on the hall until all the money is in place. No funder will back us if we have already started. We need planning permission in place before applying for funding.
- Sports facility could be another project if necessary. More funding applications but could be a fall back plan.
- No grants available for solar panels but they support sustainability criteria. Solar panels could bring in ongoing funding through FITs (feed-in tariffs).
- Street lighting – this needs to be raised at next project group meeting.
- Trustees liability: solicitors must cover our liabilities as Trustees. We need to be very certain of contractual arrangements.
- Branding: new logo designed by Simon Woodward. Discussed and agreed to present at consultation
Facilities List has been revised, need to liaise with Lovell.
Fundraising for the shortfall:
- Big Lottery may be changing the criteria for post codes but the applications are very hard work. Process is very frustrating. Need to get going on funding but cannot start until we have permissions. TF encouraged us to keep consulting so that we can demonstrate expectations to funders and have up to date information on how community feels.
- £50K is likely to be the max funding available from most funders. Trust funding may move more towards loans in the future.
- Ideas: ‘buy a brick campaign’; contact local businesses – need money, equipment and service in kind. Ask for their opinion and consult them. Invite business to consultation
- We are eligible for Biffa – can apply for £50K but must be able to supply 10% of budget.
- Other organisations considered: Awards For All & Sports England/Heritage Lottery/Big Lottery – once given money from any of these strands you cannot go back for more. Choose the best strand for our use.
- Trusthouse Foundation; Tudor Trust; Geoffrey Watling Trust; Langkelly Trust; The Rayne Foundation; BT Community Fund; Birthday House Trust; Hedley Foundation; Local Trust via NRCC; Broadland District Council; NRCC/Broadland Community Funding
- Funding Central: database free to community members service, i.e. capital & revenue
AOB and future meeting dates; Consultation on 21st & 22nd September: Project Group meeting on 6th October 10am at Lovell’s offices. Next Trustees meeting soon after that to discuss outcomes.
